POSITION DESCRIPTION

The Accounting Assistant will primarily support the Accounting Department and will support other departments with administrative work on an as needed basis. Ownership of the position, excellent attention to detail, sound time management, and effective team-work skills are essential to the success of this position. The Accounting Assistant will support the Accounting Department with daily/monthly ongoing accounting and administrative tasks and special projects.  Microsoft Excel is required for this position at an intermediate level. Your responsibilities include, but are not limited to:

Accounts Receivable

  • Preparing and submitting progress invoices according to Project Manager forecasts and preparing any related documentation to be submitted along with the invoices
  • Create customer profiles and post invoices in Sage accounting system
  • Collaborating with the Senior Financial Analyst and Accounting Manager on new projects and for any discrepancies or communication with clients
  • Proactively contacting clients to follow up on outstanding invoices
  • Create and maintain accurate accounts and reports on a day-to-day basis and assist with creating job accounts for new projects landed, including budgets related to the job
  • Prepare AR Aging reports with notes on status of payments from clients
  • Other duties as assigned

Accounts Payable

  • Match packing slips with purchase orders and invoices
  • Verify vendor invoices and ensuring accuracy
  • Post vendor invoices to Sage accounting system
  • Assist in the preparation of AP Aging reports with notes on status of payments to vendors
  • Issue payments to vendors and reconcile A/P Accounts
  • Communicate with vendors for statements, invoices, credit
  • Assist with coordination of the reimbursement of employee expenses and ensure expenses are properly approved and allocated to specific project numbers
  • Perform data entry, filing, and other clerical duties as assigned

Other Administrative Support

  • Be willing and able to provide cross-functional administrative support as needed to other departments including accounting, purchasing, human resources, project management, sales, production, design, and/or operations
  • Assist with travel arrangements and logistics/shipping as required
  • Along with other administrative staff, share back-up reception relief duties including answering phones, distributing mail and scheduling couriers as needed
  • Other responsibilities as assigned.

REQUIREMENTS AND QUALIFICATIONS

  • Post-secondary education in Business, Accounting or related field
  • Previous accounting experience and accounting software is preferred
  • Previous experience in a construction environment with progress invoicing is preferred
  • Attention to detail, strong organizational and analytical skills with the ability to multi-task
  • Ability to anticipate and proactively resolve potential issues or discrepancies with exceptional customer service with internal teams, vendors and customers
  • Manage and/or participate in small projects as a team or independently
  • Professional verbal and written communication skills
  • Experience with virtual meeting software (e.g., Microsoft teams)
  • Highly proficient in Office 365, specifically Outlook, Word, Excel, and PowerPoint
